2. Scope and legal bases
This policy applies when you visit codaroq.com, contact us, create or use a customer account, purchase a CodaRoq product, activate a licence, request an update or use optional connected features.
Depending on the situation, processing is necessary to perform a contract or take pre-contractual steps, comply with legal obligations, protect legitimate interests such as security and service improvement, or is based on consent where required. Swiss data-protection law applies; mandatory rules such as the EU/EEA GDPR remain reserved where applicable.
3. Website and security logs
Our hosting and security systems may process IP address, request time, requested URL, referrer, browser/device details, response status, transferred volume and technical errors. We use this information to deliver the site, diagnose faults, prevent abuse and maintain security.
4. Accounts, orders and licences
For customer accounts, purchases and licensing we may process name, email address, billing details, WooCommerce order identifiers, Stripe customer or payment identifiers where provided to us, selected plan, licence status, activation domain, software version, request timestamps and technical audit events.
We use this information to fulfil orders, deliver downloads and keys, enforce the purchased activation limit, provide updates and support, manage licence expiry, renewals and refunds, prevent fraud and keep legally required records. We do not store full payment-card details.
5. Stripe payments
Röllin Racing GmbH is the seller for CodaRoq online orders. Payment processing is provided through Stripe. Stripe may process payment-card details, billing information, IP/device information and fraud-prevention data required to authorise and settle the payment under Stripe’s Privacy Policy.
We receive and retain only the order and payment information needed to confirm payment, fulfil the order, operate the corresponding CodaRoq licence, provide support and handle refunds or disputes.
6. Email and support
If you contact us or purchase a product, we process the sender address, message content, attachments and related metadata to answer the enquiry, provide support and perform the contract. Transactional messages can include order confirmations, licence delivery, security notices and licence-expiry information.
Please never email passwords, API keys, full licence keys or payment-card data. Anonymise examples where possible.
7. Cookies and local storage
WordPress, WooCommerce, security tools and Stripe payment components may use technically necessary cookies or browser storage for sessions, account access, checkout, fraud prevention and security. We do not intentionally use advertising profiles or marketing-tracking cookies at the date of this policy. Consent controls will be reviewed before any non-essential tracking is enabled.
8. Optional AI features
CodaRoq Documents Pro may provide optional AI-assisted OCR or classification. Data is sent only after an authorised site administrator enables and deliberately invokes the feature. Depending on that administrator’s configuration, selected document content and instructions may be transmitted to the configured AI provider. The customer operating that WordPress site is responsible for the lawful use of its documents and provider account. CodaRoq does not automatically scan private documents for marketing purposes.
9. Service providers and international transfers
We use service providers for hosting, email, security, source-code operations, payment processing and software maintenance. Providers receive only the data required for their function. Some infrastructure may be outside Switzerland. Where required, transfers rely on adequacy decisions, recognised contractual safeguards or another lawful mechanism.
10. Retention
We retain data only as long as needed for the purpose, an active contract, security, support, tax/accounting obligations or legal claims. Server and security logs generally have shorter operational periods; order and accounting records may be retained for the legally required period. Licence events are retained while needed to operate and defend the licensing service. Data is then deleted or anonymised unless continued retention is required.
11. Your rights
Subject to applicable conditions, you may request access, correction, deletion, restriction, objection or data portability, and you may withdraw consent for future processing. Contact info@codaroq.com. We may need to verify identity before disclosing data. You may also complain to the competent data-protection authority.
12. Security and changes
We use reasonable technical and organisational measures including HTTPS, access controls, secret management and audit logging. No system is completely risk-free.
This policy may be updated when products, providers or law change. The current version on this page applies. Last updated: 14 September 2026.
